Preamble Coffee (Preamble Coffee Cart)
Mobile Coffee Cart & Espresso Catering Services – Fort Wayne, Indiana
Effective Date: March 1, 2026
Welcome to Preamble Coffee (“Company,” “we,” “our,” or “us”). By accessing our website, booking services, or engaging with our mobile coffee cart and catering offerings, you agree to the following Terms & Conditions.
These Terms govern the use of our website and services, including private event bookings, corporate events, weddings, retail activations, and coffee catering throughout Fort Wayne, Indiana and surrounding areas.
1. Services Provided
Preamble Coffee offers mobile espresso bar and coffee catering services for:
Private events
Weddings
Corporate gatherings
Church events
Community markets
Retail activations
Special occasions
Service availability may vary based on date, location, staffing, and event requirements.
Preamble Coffee is not responsible for serving beyond the contracted time unless pre-approved by both parties.
If the Client expects attendance to exceed the expected guest count, the Client must notify Preamble Coffee at least 7 days prior to the event so that additional staffing, supplies, or service time can be arranged, subject to availability. Additional fees may apply.
If the number of guests who attend the event exceeds the expected guest count, Preamble Coffee reserves the right to stop service once the contracted service capacity has been reached.
2. Pricing and Payment
The total fee for mobile coffee cart services shall be the amount listed in the Preamble Coffee Quote accepted by the Client.
Payment schedule:
o 50% Non-Refundable Retainer: Due at signing to reserve the event date
o Remaining Balance: Due 7 days prior to the event
The event date is not reserved until the non-refundable retainer is received.
Failure to pay the remaining balance by the due date may result in cancellation of services without a refund.
3. Cancellation Policy
If the Client cancels the event, the retainer is non-refundable.
If the Client cancels within 7 days of the event, the full balance may still be owed unless otherwise agreed.
If Preamble Coffee must cancel due to emergency or unforeseen circumstances, all payments will be fully refunded.
RESCHEDULING:
Client may request to reschedule once if:
Request is made at least 14 days before the event
The new date is within 6 months
Preamble Coffee is available.
The retainer will transfer to the new date. Additional rescheduling requests may require a new retainer.
4. Client Responsibilities
The Client agrees to provide:
Safe working conditions
Reasonable access to setup and breakdown the coffee cart at least 60 minutes before and after the start of service.
Minimum of 6 ft x 5 ft of space for the coffee cart
Level surface for safe operation
Access to power (one dedicated 15-amp circuit)
ADDITIONALLY:
Client will be responsible for damage to Preamble Coffee equipment caused by guests, venue staff, or client negligence.
If the venue requires permits, insurance certificates, or approvals, the Client is responsible for coordinating with the venue unless otherwise agreed.
If any venue restrictions apply, the Client is responsible for notifying Preamble Coffee in advance.
5. Menu & Product Availability
Menu offerings may vary depending on:
Seasonal ingredients
Supply chain availability
Venue restrictions
Custom event selections
We reserve the right to substitute ingredients or modify offerings when necessary.
6. Outdoor Events
If the event is outdoors, Client must provide:
Weather protection
Tent or covered area if necessary
Preamble Coffee reserves the right to pause or stop service if conditions become unsafe.
7. Force Majeure
Neither party will be liable for failure to perform due to circumstances beyond their control, including but not limited to:
Natural disasters
Severe weather
Government restrictions
Power outages
Emergencies
In such cases, the parties will make reasonable efforts to reschedule the event or refund payments as appropriate.
8. Limitation of Liability
Preamble Coffee is not liable for:
Venue-related disruptions
Delays caused by client or venue access issues
Acts of God/weather
Third-party damages
Customer misuse of products
Indirect or consequential damages
Our liability is limited to the amount paid for booked services.
9. Agreement
This document constitutes the entire agreement between the parties and supersedes prior discussions. Any changes must be in writing and signed by both parties.
10. Governing Law
These Terms & Conditions are governed by the laws of:
State of Indiana, United States
Any disputes shall be handled in appropriate courts located in Indiana.
11. Intellectual Property
All website content, branding, logos, photography, and written materials are property of Preamble Coffee unless otherwise stated.
Unauthorized use, reproduction, or distribution is prohibited.
12. Website Use
By using our website, you agree not to:
Submit false inquiries
Attempt unauthorized access
Copy proprietary materials
Disrupt site functionality
13. Privacy
Your use of our website is also governed by our Privacy Policy.
14. Allergies & Dietary Considerations
While we strive to accommodate dietary preferences, Preamble Coffee cannot guarantee allergen-free environments.
Customers acknowledge:
Cross-contamination risks may exist
Consumption is at customer discretion
